Patients Included iconPatients Included™ conference charter clauses and how the 2023 Canadian Conference on Physician Health meets them:

  1. “Patients or caregivers with experience relevant to the conference’s central theme actively participate in the design and planning of the event, including the selection of themes, topics and speakers”.
    1. The Canadian Medical Association’s (CMA) Patient Voice representative on the Canadian Conference on Physician Health’s (CCPH) Program Planning Working Group (PPWG) contributed to the design, planning, and implementation of the program, including selection of themes, topics, and speakers. The CMA Patient Voice representative has insight and knowledge to advise the PPWG on how best to involve patients, caregivers, and their needs at the meeting.
    2. The CMA Patient Voice representative also contributed to overseeing Patients Included requirements.
    3. The CCPH theme was shaped based on results from the CMA 2021 National Physician Health Survey along with the CMA Impact 2040 Priority Strategic Initiative’s work that has included Persons with Lived Experience (PWLE) representation throughout the year, since the strategy’s inception.
    4. The CMA is implementing feedback received from PWLEs from past CMA conferences, both in-person and virtual.
    5. Before the work of the CMA Patient Voice representative begins, much effort is made so that their agency may be respected. Making sure that there is no final design, topics, and speaker decisions made without their input.
  2. “Patients or caregivers with experience of the issues addressed by the event participate in its delivery and appear in its physical audience.”
    1. The CMA Patient Voice representative will have been involved in the planning of the sessions and keynotes, as well as speaker selection to ensure the PWLE perspective is captured in the content.
    2. PWLE participation in the conference delivery is currently being confirmed.
    3. PWLEs will be in both the virtual and physical audience, as CMA will offer a number of complimentary registrations - both virtual (5) and in-person (2).
  3. “Travel and accommodation expenses for patients or carers participating in the advertised programme are paid in full, in advance. Scholarships are provided by the conference organisers to allow patients or carers affected by the relevant issues to attend as delegates.”
    1. The event will be completely hybrid and there will be 5 complimentary registrations offered to PWLEs.
    2. An additional 2 in-person registrations will be offered to local PWLEs not requiring travel and accommodations. 
    3. The CMA Patient Voice representative on the PPWG will receive complimentary registration, travel and accommodations, and related expenses.
    4. PWLEs that will be invited to participate as speakers will receive an honorarium as well as complimentary registration, travel and accommodations, and related expenses.
    5. The conference is offering a reimbursement program for PWLEs to offset certain expenses for attendance (ex. childcare, adult care, laptop or tablet rental). For full details please contact physicianhealth@cma.ca.
  4. “The disability requirements of participants are accommodated. All applicable sessions, breakouts, ancillary meetings, and other programme elements are open to patient delegates.”
    1. Event platform is AODA compliant (2 - AA minimum).
    2. See Reimbursement program at 3.e.
    3. Any unforeseen requirements will be explored on an as needed basis.

    5. All disability requirements will be taken care of and included in the deliverables list to be supplied to the venue.
    6. PWLE attendees, both in-person and by virtual participation are invited to all sessions. 
  5. “Access for virtual participants is facilitated, with free streaming video provided online wherever possible.”
    1. Conference plenary presentations will be streamed live via the virtual event site. Sessions with breakouts will also have a virtual component to engage virtual attendees. Select plenary presentations will be made available for viewing at any time on the CMA’s YouTube channel.
