Patients Included™ conference charter clauses and how CMA Health Summit 2023 meets them:

  1. “Patients or caregivers with experience relevant to the conference’s central theme actively participate in the design and planning of the event, including the selection of themes, topics and speakers”.
    • The CMA Patient Voice representatives on Health Summit Advisory Group contributed to the design, implementation and evaluation of the program. The CMA Patient Voice have insight and knowledge to advise the CMA Health Summit Advisory group on how best to involve patients, caregivers and their needs at the meeting. 
    • There is one Person with lived experience (PWLE) in an advisor role to the design of the discussion of the session, design of the engagement activity and overseeing Patients Included requirements. There is a second PWLE advisor role assigned to contributing to the design of the PWLE experience.
    • The Health Summit themes were selected based on CMA Impact 2040 PSIs work that has included PWLE representation throughout the year, since the strategy’s inception.
    • The CMA is implementing feedback received from PWLEs from past CMA Health Summit events both in-person and virtual.
    • Before the work of the PWLE advisor begins, much effort is made so that their agency may be respected. Making sure that there is no final design, topics, and speaker decisions made without the PWLE; and that working groups are made aware of best practices to work in collaboration with PWLE advisors.
  2. “Patients or caregivers with experience of the issues addressed by the event participate in its delivery and appear in its physical audience.”
    • PWLE advisors will have been involved in the planning of the seven sessions and keynotes, as well as speaker selection to ensure the PWLE perspective is captured in the content.

    • PWLEs will be in both the virtual and physical audience, as CMA will offer a number of complimentary registrations - both virtual (25) and in-person (15).
  3. “Travel and accommodation expenses for patients or carers participating in the advertised programme are paid in full, in advance. Scholarships are provided by the conference organisers to allow patients or carers affected by the relevant issues to attend as delegates.”
    • The event will be completely hybrid and there will be 25 complimentary registrations offered to PWLEs.
    • An additional 15 in-person registrations will be offered to local PWLEs not requiring travel and accommodations. 
    • PWLE advisors to the event and content planning will receive complimentary registration, travel and accommodations and related expenses.
    • PWLEs that will be invited to participate as speakers will receive an honorarium as well as complimentary registration, travel and accommodations and related expenses.
    • The conference is offering a reimbursement program to offset certain expenses for attendance (ex. childcare, adult care, laptop or tablet rental). For full details please contact  yourquestions@cma.ca.
  4. “The disability requirements of participants are accommodated. All applicable sessions, breakouts, ancillary meetings, and other programme [sic] elements are open to patient delegates.”
    • Event platform is AODA compliant (WCAG.2 - AA minimum).

    • Any unforeseen requirements will be explored on an as needed basis.
    • CMA Health Summit will be held at the Shaw Conference Centre, which is a fully accessible venue, in accordance with the Ontario Building Code (2006); Americans with Disabilities Act (ADA); Americans with disabilities Act Accessibility Guidelines (ADAAG) (2004); CAN/CSA-B651 (2004 and draft 2010), Accessible Design for the Built Environment.     • All disability requirements will be taken care of and included in the deliverables list to be supplied to the venue.
    • PWLE attendees, both in-person and by virtual participation are invited to all sessions. 
    • The hashtag #CMAHealthSummit will be actively promoted prior to and during the conference to encourage online participation.
  5. “Access for virtual participants is facilitated, with free streaming video provided online wherever possible.”
    • Conference plenary presentations and sessions will be streamed live. Sessions with breakouts will also have a virtual component to engage virtual attendees. Panel portion will be available for viewing at any time in the CMA’s Facebook video library.
